A useful AI policy gives people somewhere to go.

An employee reaches for AI because there is work to do. A good policy helps them get that work done safely.

Start by making the approved path clear. Name the tools your business supports, explain what information can be included, and show an example of a safe request. “Use the company account for this task” is more useful than a general warning to be careful.

Match the response to the risk. Some situations call for a block. Others need a reminder, a revised prompt, or a pointer to an approved alternative. Give the person a next step whenever you interrupt their work.

Then listen to what happens. Repeated policy events can reveal confusing guidance, an unmet tool need, or a workflow that deserves a better design. Use those signals to improve the policy and the employee’s path through it.

Share the method, not just the prompt.

A good prompt can help once. A well-explained workflow helps someone repeat the result.

When a teammate gets a useful result from AI, the prompt is only part of the story. They also chose the task, gathered the right context, recognized a weak answer, and decided what to check. Those decisions are the expertise worth sharing.

Capture the starting point, the steps, and the review criteria. Explain what information someone needs before they begin, where their judgment matters, and what a finished result should look like. Remove personal or confidential details that are not needed to teach the method.

Ask another teammate to try it. Their questions reveal the assumptions the original author forgot to explain. Refine the workflow from that feedback, then keep it current as your tools and processes change.
